Who this helps
Hotel Apartment distribution managers, revenue teams and guest-review leads.
What you can do
Use the prompts to review listing quality, channel mix, commissions, parity questions and reputation evidence.

Distribution is the hotel apartment's digital shelf

A guest may encounter the property first through an OTA rather than the hotel apartment's own website. Room names, images, amenities, cancellation terms, taxes, availability and review responses are therefore operational product data, not merely marketing copy. A wrong room size can create an expectation failure; a wrong bed type can become a complaint; a wrong cancellation condition can become a commercial dispute. The management rule is: one approved property truth, many controlled distribution surfaces.

The HOTEL framework for distribution and reputation

H — Hospitality role & human owner: Distribution controls channel configuration; Revenue owns rate/restriction logic; Marketing owns brand content; Operations owns service reality; Guest Experience owns VOC handling; Finance verifies channel cost.

O — Operational objective & context: Define channel, room/rate mapping, stay dates, device/member conditions, content version and review period.

T — Trusted inputs & sources of truth: Use PMS/CRS/channel manager, approved property facts, contracts, extranet exports, timestamped screenshots and verified review/VOC records.

E — Expected output, evidence & exceptions: Require like-for-like comparisons, content mismatch evidence, cost formulas, review themes and accountable actions.

L — Limits, privacy & leadership approval: AI cannot publish a rate, invent a room feature, expose guest data or post a review response without authority.

Fictional 60-unit UAE serviced-apartment case

Illustrative scenario

Operational teaching scenario, not a documented incident. Uncited figures and outcomes are illustrative assumptions.

Situation

Assume a fictional 60-unit portfolio sells through a direct website, two major OTAs, corporate accounts and selected distribution partners. An audit finds one OTA lists a one-bedroom apartment as 70 m² while the approved property fact sheet states 62 m². Another channel shows breakfast included although the mapped rate plan is room-only. A third channel still shows an old checkout time. These are illustrative examples, not real property performance. They demonstrate how content drift can affect conversion, expectations, complaints, refunds, review scores, staff workload and commercial disputes.

Evidence

Check the stated quantities and calculation inputs against approved supplier rates, costs, commercial terms and the applicable source records.

Decision

Decide whether the proposal or calculation is supportable, which assumptions need testing and whether commercial approval is required.

Action

Prepare the cost or proposal review with explicit assumptions, separate confirmed inputs from estimates and send it to the authorised reviewer.

Verification

Recalculate from the approved inputs, reconcile totals and terms and record approval before issuing a price or claiming a saving.

OTA listing quality and content consistency

Prompts 191 and 192 treat listings as controlled product data. Audit property name/address, room/unit names, room size, bed configuration, occupancy, amenities, kitchen/laundry facilities, accessibility facts, check-in/out, parking, breakfast, deposits, cancellation, child/extra-bed policy, imagery and location descriptions. The objective is factual and policy consistency, not identical wording across every channel. AI should compare against the approved source; it must not “improve” a listing by inventing a feature.

Reviews are VOC evidence

Prompt 193 structures guest-review themes such as cleanliness, maintenance, noise, check-in, staff, Wi-Fi, location, value, amenities, listing accuracy and housekeeping frequency. If a guest writes “the AC never worked,” record it as a guest statement. Check the work order, complaint record, room history and staff notes before calling the technical cause verified. Reviews are strong evidence of guest perception; they are not automatically proof of root cause.

Public review responses

Prompt 194 drafts a response that acknowledges the experience, avoids arguing, protects personal data, avoids invented facts and unauthorized compensation, explains only verified corrective action, and moves sensitive discussion offline where appropriate. Internal investigation details should not be published into a public channel.

Distribution mix and commission economics

Prompts 195 and 196 connect production to economics. A higher-cost OTA may still provide incremental demand, conversion and reach; the objective is not to “remove OTAs,” but to understand contribution and dependency. Commission must be calculated from the applicable contract and eligible revenue, including the approved treatment of taxes, cancellations, no-shows, promotions, payment fees and commissionable components. Gross room revenue, commission and approved net-value measures must remain separate.

Rate parity is an investigation

Prompt 197 prevents false parity alarms. A screenshot showing AED 550 on one channel and AED 600 direct does not prove a breach. Compare the same stay dates, room, occupancy, cancellation, meal/benefits, taxes/fees, currency, mobile/member/geo eligibility, coupon conditions and payment timing. Only then classify the difference and assign an investigation owner.

Promotion performance

Prompt 198 asks whether a promotion created incremental value. If a baseline rate is AED 600 and a 15% promotion produces AED 510, additional bookings may be valuable if they would not otherwise have occurred. If guests who would have paid AED 600 simply book at AED 510, the promotion may cannibalize revenue. Increased bookings alone do not prove incrementality.

Content improvement backlog

Prompt 199 converts findings into controlled work. Useful fields include channel, listing/page, field, current content, approved content, severity, guest/commercial impact, owner, action, due date and verification evidence. This prevents audit findings from disappearing into email or chat.

Reputation management brief

Prompt 200 connects average rating, review volume, response performance, positive/negative themes, repeated operational issues, listing-accuracy complaints and open CAPA. The purpose is not simply to “improve the score”; it is to improve the underlying guest experience and ensure public content accurately represents that experience.

Review-score mathematics needs context

Averages can hide distribution. Two properties may both average 4.2/5 while one has stable four-star reviews and another has many five-star reviews plus repeated severe one-star failures. Management should examine distribution, recency, volume, theme, severity, property/unit and verified operational linkage. Do not optimize only the average.

Reputation ethics

Do not use AI to fabricate reviews, impersonate guests, pressure guests to remove legitimate criticism, disclose guest identity, create misleading incentives, or post responses pretending to be personally approved when they were not. AI should improve analysis and response quality; it should not manufacture reputation.

Distribution control risks

Mapping risk: wrong room/rate mapping creates incorrect offers.

Content risk: stale facts create expectation gaps.

Parity risk: unmatched conditions create false alarms.

Commission risk: contract/invoice differences distort channel economics.

Promotion risk: discounted production may be mistaken for incremental demand.

Reputation risk: public responses may expose privacy or create liability.

Automation risk: AI drafts may publish without human verification.

30-day distribution and reputation plan

Days 1–5 — Source of truth: approve the property fact sheet, room types, rate plans and policies.

Days 6–10 — Channel audit: audit major OTAs and direct content, log mismatches and correct critical facts.

Days 11–15 — Commercial controls: validate commission agreements, review mix, create a parity investigation template and review promotions.

Days 16–20 — VOC: export reviews, classify themes, connect complaints/CAPA and review the public-response process.

Days 21–25 — Content backlog: prioritize improvements, refresh approved imagery/content, assign owners and verify corrections.

Days 26–30 — Management review: review distribution economics and reputation trends, close critical gaps and define the monthly cadence.

Before → Action → After → commercial impact

A credible improvement case separates Before (verified channel/content/reputation baseline), Action (approved content, mapping, promotion, distribution or operational intervention), After (measured performance over a defined period), and Commercial impact (Revenue/Finance-validated effect with attribution limits). A rating increase after a listing correction does not prove the correction caused the increase.

Management checklist

Before accepting an AI-supported distribution/reputation recommendation, verify one approved property source of truth, room/rate mappings, timestamped channel evidence, like-for-like parity conditions, taxes/benefits, actual commission contracts, review evidence status, root-cause verification, public-response privacy, promotion net value, publishing authority and CAPA ownership.

Key takeaway

OTA and reputation management is not separate from operations. The controlled chain is property truth → channel mapping → digital display → booking → stay → guest feedback → operational learning → corrected content/service. AI can connect the evidence. It must not rewrite reality.
